Summary: The Plant Administrative Assistant is responsible for creating a welcoming, helpful first impression for guests both in person and on the phone. The Plant Administrative Assistant also sorts mail, enters preventive maintenance data, enters timecard data, maintains the MSDS database, ordering and maintaining personal protective equipment, processes employment applications, and maintains office filing systems.

Essential Duties and Responsibilities: Other Duties may be assigned.

Reception Duties: • Answer Phones • Greet Visitors • Process Mail • Distribute and Receive Applications • Various Filing
Payables: • Code Payables for Plant Manager Approval • Enter payables into EVO • Enter CER’s • Scan and File Hazardous Manifests • Scan and File Re-bills • Mail Checks, Scan and File Payables. • Update Reports from Payables as needed: Alternative Fuel, Waste , Electricity Analysis • Review Statements
Reports: • Complete Waste Tracking Forms • Complete Copier Reading report
Time Cards: • Review and Revise Timecard System Information for Payroll Processing (including Temporary Employees) • Ensure Attendance Forms are Completed 
Order Supplies: • Order various office supplies as needed for all locations. • Compare pricing on office supplies, janitorial items and other items & Maintain inventory of these items. • Compares pricing, orders, and maintains inventory of PPE
Maintenance: • Enter Daily Maintenance Logs and PM's into Mpulse System • Maintain Mpulse Database to ensure that all equipment has been assigned an Equipment ID. • Separate, enter, and file Forklift Maintenance Forms • Research and price equipment as needed. • Order parts when requested.
Other duties: • Update calendars with visitors or appointments when notified. • Maintain First Aid cabinet. • Review Video as needed. • Make signs as needed. • Scan and file Contractor Awareness forms. • Back up Data Entry position and Inventory Control Positions as needed.

Education and/or Experience: High School Diploma or GED. Georgia Work Ready Test preferred. Associates degree in Accounting preferred.
Language Skills: Ability to read, analyze, and interpret Bills of Lading, Invoices, Purchase Orders, and MSDSs. Ability to effectively communicate with co-workers and visitors.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to interpret graphs.
Computer Skills: Proficiency with Microsoft Outlook, Excel, Word, and others as required by job duties.
